DEPLOYMENT

Getting Started

1. Install QuoteVault

Add QuoteVault to the Discord server you want to archive. The server owner or a Discord Administrator should complete initial setup.

2. Run /quote setup

The readiness check verifies Discord permissions and configured resources. Resolve failed checks before relying on message capture.

3. Review Server Settings

Configure capture channels, access roles, moderation, presentation, duplicate detection, and retention from the web panel.

4. Save the first quote

The fastest workflow is a Discord message context action: right-click a message, open Apps, then choose Save to QuoteVault.

Required Discord capabilities QuoteVault should be able to view the channel, send messages, embed links, attach files, and read message history where it is expected to operate.

ARCHIVING

Capturing Quotes

QuoteVault supports sourced Discord captures and manual archive entries.

Save an existing Discord message

  1. Find the message in Discord.
  2. Right-click the message (or open the message actions menu on mobile).
  3. Choose Apps.
  4. Select Save to QuoteVault.

When context preservation is enabled, QuoteVault can retain source metadata and nearby conversation context.

Manual capture

/quote add <content> [quoted_user] [tags]

content is required. quoted_user and tags are optional. Up to five comma-separated tags may be supplied.

Duplicate detection If enabled, QuoteVault prevents the same Discord message or quote text from being archived more than once.

ACCESS CONTROL

Permission Model

Server Owner Full setup, dashboard, settings, moderation, and bot authority.
Discord Administrator Administrative authority equivalent to the owner for QuoteVault configuration.
Moderator Role Moderates archive records without receiving full server-administration authority.
Bot Access Roles Restrict normal QuoteVault bot usage. Empty means all members may use the bot.
Archivist Roles Control who may add quotes, use Save to QuoteVault, and curate owned collections. Empty inherits Bot Access.

Web access is separate. Bot Access, Archivist, and Moderator roles do not grant access to the server's web dashboard.

/quote permissions Shows the server policy and your effective QuoteVault access.

CURATION

Collections

Collections organize related archive records without changing the quotes themselves.

Server collections

Shared collections are intended for server history and can be browsed by authorized QuoteVault users.

Private collections

Private visibility limits a collection according to QuoteVault's collection access rules.

Manual & featured collections

Manual collections support deliberate ordering, bulk curation, and featured status so important archives remain easy to find.

Smart collections

Smart collections are live views driven by archive filters such as text, author, archivist, tag, source channel, dates, revision state, sharing state, and status.

Collections and tags share the Organization workspace in the web panel. It supports tag usage/cleanup, bulk classification, collection visibility and descriptions, membership, ordering, public sharing, featured state, and live smart-filter definitions. Smart collection membership is calculated automatically and is not manually edited.

Panel Preferences can remember Quote Management page size and default sort, the default Organization tab, and compact or comfortable panel density.

REVISION SYSTEM

Moderation & Recovery

QuoteVault removals use a recoverable revision workflow rather than treating moderation as an untracked edit. The canonical quote detail page shows revision history, operators, actions, reasons, and historical states.

Removing a quote

/quote remove <id> [reason]

The configured moderator role, server owner, and Discord Administrators can receive moderation authority according to server policy.

Restoring history

Authorized dashboard users can inspect historical before/after states and restore a selected revision. Restores themselves remain part of the revision history.

WEB PANEL

Dashboard

The server dashboard is an administrative boundary separate from everyday bot roles. Server owners and Discord Administrators use it to manage archives and configuration.

Quote Management

Search and filter by quote text, quoted user, archivist, tags, collection, source channel, dates, curation/share coverage, and sort order. Power searches can also use shortcuts such as tag:, author:, archivist:, channel:, has:context, has:share, and is:edited.

Quote Detail

Inspect and manage provenance, tags, collections, source information, context, public sharing, related records, normalized activity, revision history, and recoverable removal state for a single record.

Settings

Configure capture behavior, access roles, moderation, discovery, presentation, retention, duplicate detection, and archive lock.

Archive Portability

Export or import server archive data through the guarded, versioned portability workflow with compatibility warnings and collection definitions.

Organization

Manage tags and collections together, inspect usage, clean unused tags, bulk-classify archive records, and jump directly into matching Quote Management results.

Readiness & Moderation

The Dashboard readiness banner expands in place for setup review and surfaces items that need attention. Moderation is the audit center for quote revisions, removals/restores, collection/share activity, portability events, and normalized archive history.

DATA OWNERSHIP

Import & Export

Open Panel → Archive Portability for server archive movement. QuoteVault supports full JSON export and CSV export.

Export

JSON is the richer portable format and includes provenance, tags, and collection metadata. CSV is useful for tabular access to archive records.

Import

CSV and JSON imports are validated before writing. Imports use a preview, skip collision policy, record limits, and an atomic write workflow with rollback on failure.

Preview first An import preview does not modify archive records. Review ready, skipped, and error counts before committing.

PRIVACY

Privacy & Data Removal

QuoteVault provides an authenticated data-removal request flow for user data and server data. Server requests are intended for the Discord server owner rather than ordinary administrators.

When a removal request begins from a public share, QuoteVault keeps that public-record context through Discord authentication, preselects an eligible owned server when appropriate, and shows prior request status after sign-in.

Requests are reviewed before completion. The administrative workflow performs a deletion preflight and a post-delete verification so a request is not marked complete while target-linked data remains.

RECOVERY

Troubleshooting

QuoteVault does not respond or a card never appears.

Run /quote setup. Check View Channel, Send Messages, Embed Links, Attach Files, and Read Message History in the affected channel. QuoteVault attempts a fallback response or DM when channel permissions prevent a normal card.

I can use some commands but cannot archive a quote.

Check Bot Access Roles and Archivist Roles with /quote permissions. Archivist restrictions can allow normal bot usage while separately restricting capture.

Save to QuoteVault is missing.

Use the message's context/actions menu and look under Apps. Also confirm QuoteVault was installed with application commands and that your access roles permit capture.

A Discord source link no longer works.

The original message or channel may have been deleted or become inaccessible. QuoteVault can retain archived text/provenance even when the live Discord source is no longer available.

I received an error such as QV-XXXXXX.

Keep the QV incident ID. It lets us correlate your failure with an alert without exposing internal diagnostics to users.
